Applying burns the boxes into the page itself and replaces the document: the original file, its page images, its text and its search entries are deleted, and links keep working.

Export a room's activity as a CSV: who opened which link and when, with IP address, pages read, downloads, NDA acceptances, recipient verifications, Q&A and owner changes. The closing ZIP adds the NDA log, Q&A and request list with a SHA-256 manifest and a certificate. Deleting a room leaves a deletion certificate, as PDF or text.

Two-factor sign-in with an authenticator app, with the option to trust a device for 30 days. Switch it on or off, and forget remembered devices, from the Account page. Sign in with a password, with Google, or with a Microsoft work or school account.

Visitors ask questions from inside the room, and each one is logged against the room and the person who asked. Set a status, priority and category, then answer in writing and the asker gets your answer by email, or keep an answer internal. Export every question and answer as CSV.

Mark each request outstanding, provided or not applicable, attach the documents that answer it, and let recipients follow the progress in the room. Search the names and text of every document in every room you own, with the matching passage shown and your words highlighted. Scanned pages are read with OCR when they are uploaded, so a scan is found like any other document.

Send a PDF for signature to one or more people by email. Each signs from their own link, and when the last one has signed, the finished PDF with an audit trail page is saved back to the room. A simple electronic signature under UK eIDAS, EU eIDAS and the US ESIGN Act, suited to NDAs, side letters and MoUs. It is not a qualified electronic signature.

Drop a folder or a zip and its subfolders are recreated in the room, with each document filed in its own. Word, Excel and PowerPoint files are converted to PDF on upload, and the encrypted original is kept.

In a regular room we hold the keys, which is what lets Beamprobe show page previews, search your documents and answer questions about them. In an end-to-end encrypted room the key is made in your browser and never reaches us, so only you and the people you send a link to can read the documents. Choose it when nobody outside the deal, your data room provider included, should be able to read them: a company sale before it is announced, a board or shareholder dispute, litigation papers, or a client who requires it.

Beamprobe still sees who opened the room and when, their email and IP address, which page numbers they read and for how long, how many documents there are with their sizes and page counts, and the room name. Use a code name for the room if the name itself is sensitive.
The encryption runs in code your browser loads from beamprobe.com. It keeps your documents unreadable to us and to anyone who breaks into our servers or storage. Like any end-to-end encryption in a web app, it relies on that code being what we publish.

In a regular room, documents are encrypted in storage with keys Beamprobe holds, which is what lets it make page previews, search them and answer questions about them. For a deal that needs more, make the room end-to-end encrypted, on Pro and above: your browser encrypts each PDF and its name before upload with a key we never receive, so Beamprobe cannot read them, and neither could anyone who broke into our servers. Search, AI, redaction and Q&A are off in those rooms.
