TL;DR. Datasite does not publish prices. Every room is quoted per project after a sales call and a signed statement of work. How much does Datasite cost in 2026?
There is no rate card. Datasite’s own FAQ says pricing “is customized for every transaction” and that quotes are tailored “to match the specific scope, requirements, and timeline of your project”. What follows is what buyers, advisors and procurement data report, not a list price.

Two things stand out. First, the range is wide because the price is a function of your document volume and deal length, not a menu choice. Second, the UK bottom of the range is well below the US mid-market floor, because smaller UK sell-side processes get scoped as short, low-volume projects. If your deal is a £15 million trade sale with a 300-document room, you are at the bottom of the table. If it is a carve-out with 50,000 pages of contracts, you are not.
How is a Datasite quote built?
A Datasite statement of work is assembled from line items, and the line items are where two identical-looking quotes end up thousands of pounds apart.
- Base project fee. A fixed amount for the room, the project manager and the platform for an agreed duration. Datasite says its Assist service, the project manager and 24/7 support, is included at no extra cost.
- Volume. Either a per-page rate on everything uploaded or a page or storage allowance inside the base fee with an overage rate above it. Billing lands on upload, so you pay for the corpus you assemble, not the pages bidders read.
- File-type surcharges. Spreadsheets, media and anything that is not a PDF or an Office document are billed above the standard rate. Reviewers on data-rooms.org and G2 flag this as the item most often missing from the first quote.
- Duration and extensions. The base fee buys a fixed number of months. Deals overrun, and the extension rate is often quoted separately from the headline figure.
- Closing services. Archive copies, the audit trail export and post-close access are priced at the end, after the room’s contents are purged on Datasite’s standard schedule.
The per-page meter is what makes Datasite hard to budget. At the typical $0.60 a page, a 10,000-page mid-market room is about $6,000 in upload fees before the base fee, and a 50,000-page divestiture is about $30,000. A rule of thumb from scanned deal documents is roughly 10,000 pages to the gigabyte, so per-page and per-gigabyte quotes are two views of the same meter.
What does Datasite cost for a UK deal?

A worked example. A £20 million trade sale, twelve weeks from teaser to signing, 300 documents and around 8,000 pages once the contracts and the financial model are in. At the bottom of the UK range that is £2,250 for the room, £2,000 to £5,000 of setup, and any surcharge on the Excel model, so £4,500 to £8,000 all in. Why does Datasite not publish pricing?
Three reasons, and only one of them is about you.
The product is scoped, not sold. Datasite began as Merrill Corporation’s data room business in 1999, a financial printer that moved deal documents online, and rebranded to Datasite in 2020. Per-page pricing is inherited from the days when pages were printed. Each engagement is still run as a project with a named manager, so the vendor prices the project rather than the software.
The price depends on who is asking. Reviewers on data-rooms.org note that Datasite pricing varies by account manager, region and client status. An investment bank running fifteen rooms a year is quoted differently from a corporate running one, and there is no published list to anchor either quote to.
The competitive set is smaller than it looks. Datasite acquired Firmex in 2021 and Ansarada in 2024. If you gather three enterprise quotes and two of them are from Datasite-owned brands, you have one benchmark, not three. Independent comparisons come from iDeals, Intralinks and the flat-fee tier.
How do I negotiate a Datasite quote?
If Datasite is the right tool for your deal, the quote is still negotiable. Fix these six things in writing before you sign the statement of work.
- Count your pages before the call. Estimate the finished room, not the current folder, and count spreadsheets and media separately.
- Ask for a flat project fee with a page or storage allowance, and get the overage rate in the document.
- Cap the extension fee. Fix the monthly extension price and the number of extensions before it can be renegotiated.
- Fix the archive and closing copy price now, not at completion, when you have no leverage.
- Name every surcharge. Redaction, translation, bulk downloads and non-Office file types, attached to the quote as a list.
- Get a second quote from outside the Datasite group. iDeals for a sales-led comparison, a flat-fee room for the real alternative.
Sales cycles run one to five business days for scoping and two to seven for contract, with the room live in one to three days after signature if your documents are organised. Build that fortnight into the deal timetable.
When is Datasite worth the price?
Datasite is the right answer for a specific kind of deal, and the price is not the problem on those deals. Pay it when:
- The buyer universe is a Tier 1 bank process with a hundred or more bidders and structured Q&A across all of them
- The room holds regulated personal data that needs AI-assisted redaction before bidders see it
- Counsel on the other side mandates an enterprise data room by name
- The deal is cross-border at £500 million and above, with 24/7 named project management as a requirement
- Your firm runs enough deals a year that the account manager relationship pays for itself
If none of those apply, the quote is buying capacity you will not use. The typical UK fundraise or sub-£100 million sale needs an NDA gate, per-recipient links, watermarking, page-level analytics and a signed audit log at closing. Those are table stakes at the flat-fee tier.
